An AI agent is a model wrapped in a loop. It receives a goal, considers the current state, chooses an action from a list of tools it is allowed to use, observes what happened, and repeats until the goal is met or a limit is reached. The loop is the whole idea. A single model call produces text. A loop produces work.

<a id="differ"></a>How do agents differ from automation tools?

Three differences matter in practice. Who plans. In a traditional workflow the plan is the diagram you drew. In an agentic system the plan is generated at runtime, which is why the same agent can handle a case you never anticipated. How failure behaves. A fixed workflow fails loudly at the step that broke. An agent may attempt a workaround — useful when the workaround is sensible, dangerous when it is not. Hence step budgets and approval gates. What you have to specify. Automation requires you to enumerate every branch. An agent requires you to enumerate every tool and every boundary. That is usually less work, and it moves the specification from process detail to permissions.

Agents reach your systems through tools: small, described functions such as check availability, create invoice draft, look up customer by phone. Increasingly these are exposed through an open, standard tool protocol rather than one-off code. For a business owner, three things follow: When you evaluate a supplier, ask to see the tool list and the write permissions. It is the most revealing document in the project.

  • The permission list is the security model. If delete customer is not a tool, the agent cannot delete a customer, no matter what it is asked.
  • Every action is loggable. Tool calls give you an audit trail: what was called, with what arguments, and what came back.
  • You are less locked in. Standard tool layers survive a change of model or vendor; bespoke glue rarely does.

  • Triage across variable inputs — enquiries arriving by phone, email, WhatsApp and web form that need routing and enrichment.
  • Reconciliation — comparing a supplier invoice to a purchase order and a delivery note, where the discrepancy could be in any of the three.
  • Research and drafting — assembling a proposal from your own case studies, price list and the client's brief.
  • Long-tail support — questions your FAQ never anticipated but your documentation answers.

  • High-volume, identical transactions. If ten thousand records need the same transformation, write the rule. It is faster, cheaper and provable.
  • Regulated outputs. Where an auditor needs to see that the same input always produced the same output, determinism beats flexibility.
  • Anything irreversible without review. Payments, deletions, public posts and contract issuance belong behind human approval.
  • Thin data. An agent with nothing to ground on will produce confident, useless work.
